6. AI Processing and Generated Content
Certain SuiteOne features, including ListingOne marketing workflows, may use artificial-intelligence services to help generate content.
When you request AI-assisted functionality, SuiteOne may transmit information relevant to that request to an AI service provider.
Depending on the workflow, this may include information such as:
- property facts;
- Listing Story information;
- marketing instructions;
- selected professional or contact information;
- other information necessary to produce the requested output.
SuiteOne may store generated outputs so that you can review, revise, preserve, compare, and use them through the product.
ListingOne-generated content is intended to assist your work. You should review generated content for factual accuracy, suitability, legal and regulatory compliance, advertising requirements, fair-housing considerations, and other professional obligations before using or publishing it.
7. Uploaded Files and Media
When a SuiteOne product supports uploads, we may process photographs, images, documents, file metadata, and other uploaded materials.
Files may be associated with your SuiteOne account, product workspace, property, listing, community, or other relevant product context.
Access controls are used to restrict access according to applicable account, membership, ownership, and product permissions.
8. Billing and Subscription Information
SuiteOne uses third-party payment services, including Stripe, to process subscriptions and payments.
Payment credentials such as full card numbers are submitted to and processed by the payment provider rather than stored directly by SuiteOne as ordinary application data.
SuiteOne may receive and store billing-related information such as:
- Stripe customer identifiers;
- subscription identifiers;
- product and price identifiers;
- checkout-session information;
- subscription status;
- payment status;
- billing-related timestamps;
- entitlement information;
- other metadata needed to operate the subscription.
Payment providers process information according to their own privacy policies and contractual obligations.
9. Communications
SuiteOne may process your contact information to send communications necessary to operate the Services.
These may include authentication messages, account confirmations, password-recovery messages, security-related communications, billing or subscription communications, product-related transactional messages, and support communications.
SuiteOne currently uses third-party email infrastructure to deliver application communications.
Transactional communications should not be interpreted as a commitment to operate a marketing-email program.
10. Support Communications
If you contact SuiteOne for support, we may process your name, email address, account information, product context, the contents of your request, and information necessary to investigate or resolve the issue.
Support is currently available through:
Please do not send passwords, complete payment-card information, or other unnecessary sensitive information through support communications.
11. Technical and Usage Information
SuiteOne and its service providers may process technical information necessary to operate, secure, troubleshoot, and improve the Services.
Depending on the interaction, this may include IP-related information, browser or user-agent information, device or request metadata, requested routes or pages, authentication events, session information, error information, server and application logs, timestamps, and security and diagnostic information.
Certain published ListingOne interactions may also record referral or campaign information such as UTM parameters or referrer information.
Current implementation may create a truncated hash derived from IP-related and user-agent information for limited technical/product purposes rather than storing the underlying value in that particular record.
12. Cookies and Similar Technologies
SuiteOne uses cookies or similar browser storage where necessary to operate the Services.
These may support authentication, session continuity, security, product routing, theme or interface preferences, and other service functionality.
The current production architecture does not use behavioral-advertising pixels, cross-site advertising trackers, or session-replay technology.
If SuiteOne introduces additional analytics, advertising, or tracking technologies, we will review the corresponding privacy and consent requirements before deploying them.
13. How We Use Information
SuiteOne may use information to create and maintain accounts; authenticate users; manage memberships and permissions; determine authorized product access; provide subscribed products and features; process and manage subscriptions; create and maintain product workspaces; store and retrieve customer work; generate requested content; process uploaded media; preserve versions and product history; provide support; send transactional communications; maintain security; prevent abuse and unauthorized access; troubleshoot errors; monitor service reliability; comply with applicable legal obligations; enforce applicable agreements; and protect SuiteOne, our customers, and others.
SuiteOne does not intend to use customer personal information for purposes materially inconsistent with this Policy without appropriate review and notice.
14. Service Providers
SuiteOne relies on third-party service providers to operate portions of the Services.
Current provider categories include services for authentication, databases, and storage; application hosting and runtime infrastructure; payment processing; email delivery; artificial-intelligence processing; and mapping or related product functionality where applicable.
Current providers identified in SuiteOne's Commercial-v1 architecture include Supabase, Vercel, Stripe, Resend, and OpenAI, and other providers where required by specific product functionality.
These providers process information for the purposes associated with the services they provide.
15. Sale of Personal Information and Behavioral Advertising
SuiteOne's current Commercial-v1 architecture does not identify a business practice in which SuiteOne sells customer personal information to data brokers, operates a behavioral-advertising network, uses customer personal information for cross-context behavioral advertising, or deploys advertising pixels for such purposes.
SuiteOne does not intend to monetize customer personal information through its sale or through behavioral advertising as part of Commercial-v1.
If SuiteOne's practices materially change, the applicable privacy requirements will be reviewed before implementing the new practice.
16. Data Security
SuiteOne uses technical and organizational measures intended to protect the Services and customer information.
Current controls include, where applicable: authenticated access; account membership controls; product entitlement checks; project and resource ownership checks; tenant isolation; row-level security; server-side write admission; HTTPS; third-party payment processing; and production monitoring and error review.
No Internet-connected service can guarantee absolute security.
SuiteOne does not represent that the Services are immune from all security risks.
17. Data Retention
SuiteOne retains information as reasonably necessary for providing the Services, maintaining customer accounts, preserving customer-created historical work, subscription and billing administration, security and fraud prevention, troubleshooting, dispute and audit needs, and compliance with applicable obligations.
SuiteOne does not currently maintain one universal automated retention period for every category of information.
Different information may therefore be retained for different periods based on its purpose and the applicable product or account lifecycle.
SuiteOne intends to develop more specific operational retention standards as its products and compliance program mature.
18. Subscription Cancellation and Historical Work
Cancelling a SuiteOne product subscription is different from deleting a SuiteOne account.
When entitlement to a product such as ListingOne ends, productive use of that product may end.
For ListingOne, former customers may retain authorized read-only access to their own historical ListingOne work while productive actions remain restricted without current entitlement.
Historical access remains subject to applicable account membership, ownership, security, and tenant-isolation controls.
19. Your Choices and Requests
Depending on your account and the information involved, you may be able to update certain information directly through the Services.
For other requests concerning your information, you may contact:
SuiteOne currently handles broader privacy, access, correction, deletion, and export requests through support rather than through a comprehensive self-service privacy portal.
SuiteOne may need to verify your identity and authority before acting on a request.
The availability and scope of particular privacy rights may depend on applicable law.
20. Account Deletion
Subscription cancellation does not automatically delete your SuiteOne account or historical customer data.
SuiteOne does not currently provide a comprehensive self-service account-deletion workflow across all products.
Customers may contact SuiteOne at hello@suiteone.app to request assistance regarding account or data deletion.
Deletion may be subject to technical, contractual, security, historical-access, billing, dispute, and legal considerations.
21. Children
SuiteOne's commercial Services are intended for adults.
Commercial SuiteOne account holders must be at least 18 years old.
SuiteOne does not intentionally design its Commercial-v1 services for children.
If you believe information relating to a child has been provided to SuiteOne inappropriately, contact:
22. U.S.-Focused Service
SuiteOne's initial commercial launch is focused on customers in the United States.
The technical availability of a website outside the United States does not mean SuiteOne intentionally offers every Service in every jurisdiction.
International expansion may require additional privacy disclosures, contractual terms, operational controls, and transfer mechanisms.
23. Third-Party Services and Links
The Services may interact with or link to third-party services, such as payment services, authentication providers, mapping providers, AI services, external social-media or listing platforms, and other customer-selected destinations.
SuiteOne is not responsible for the independent privacy practices of third-party services.
You should review the policies applicable to services you choose to use.
24. Changes to This Privacy Policy
SuiteOne may update this Privacy Policy as its Services, practices, or legal obligations change.
When appropriate, SuiteOne will update the effective or last-updated date and provide additional notice of material changes.
